With major improvements in conference organization, scheduling, and technical co-sponsorships, 2025 marks a year of transformation for ITSS events. Additionally, with the 25th Anniversary Celebration of ITSS taking place at ITSC 2025, this year presents an opportunity to reflect on past achievements and set the foundation for the future.

Key Changes for ITSS Conferences in 2025

New Conference Organization Manual

A major focus for 2025 is the development of a Conference Organization Manual, set to be finalized by mid-year. This manual will provide clear guidelines for both veteran and new conference organizers, ensuring consistency, efficiency, and higher-quality events.

Revised Submission and Notification Schedules

Starting in 2026, the submission and notification timelines for IV and ITSC will be adjusted to:

  • Reduce internal competition between the two flagship conferences by spacing out their submission deadlines.
  • Ensure a four-month gap between paper notification and the conference itself, allowing authors and attendees sufficient time for visa applications, travel, and accommodation.
  • Standardize the review process, fixing it at two months to maintain a clear and predictable timeline for authors.

These changes will improve accessibility and encourage stronger participation from a global audience while minimizing conflicts with other IEEE conferences.

New Process for Technical Co-Sponsorship (TCS) Approvals

Previously, technical co-sponsorship applications were handled on an ad hoc basis without a standardized process. In 2025, ITSS introduced a five-step TCS approval process:

  1. Online application submission for interested conference organizers.
  2. Evaluation by the ITSS Conference Standing Committee to ensure alignment with ITSS requirements.
  3. Presentation of selected applications to the ITSS-Board of Governors for approval.
  4. Issuance of an IEEE sponsorship letter, formally granting ITSS co-sponsorship.
  5. Finalizing the IEEE Memorandum of Understanding (MOU) and integrating ITSS into the event’s branding, publicity, and technical program.

Additionally, all TCS conferences will now require at least two ITSS members to be involved in the technical program committee, ensuring quality and alignment with ITSS research standards.
